Works with Trams Back Office and ClientBase

Trams and ClientBase, reconciled.

Commissions in a Trams agency live in Trams Back Office, not in ClientBase. TBO can write any report to Excel or a text file, and its Report Generator can build exactly the columns MarginShield needs.

Getting the export

  1. In Trams Back Office, open Reports, then Report Generator, then Build Report. Add the Comm Track booking fields listed below.

  2. Print the report with Mail Merge, which writes a tab-delimited text file, or send any standard report To File as Excel.

  3. Open the file in a spreadsheet, save as CSV, and check the amounts are numbers: Trams exports Excel data as text.

  4. Upload in MarginShield and map the header once.

One row per invoice booking. A received commission is a payment that closes the Comm Track booking, so open items also appear on Reports, Core, Vendor Balances.

Mapping the columns

MarginShield needs a booking reference, a currency, what you expected and what you received. Supplier and booking date are optional and worth mapping. Column names marked as seen come from Trams Back Office and ClientBase’s own documentation; the rest are inferred from its screens, and the mapping step will show you your actual headers either way.

Trams captures both; the exact header depends on the report. If every row is one currency, map a fixed value.

Yes

Comes from the payment that closed the booking; on Vendor Balances an open booking has none. Confirm the header on your report.

Watch for

  • Excel output is text. Amounts with $ signs, commas and parentheses for negatives are all read correctly by MarginShield, but a cell that says “See note” is not an amount.
  • ClientBase alone does not hold commission payments; if you only have ClientBase, the figures are in TBO.
